Understanding Quotations

Quotations are formal offers to sell products or services at specified prices and terms. They serve as:

  • Price commitments with validity periods
  • Professional documents for customers
  • Starting point for sales orders
  • Negotiation tools

Creating Quotations

Quick Start

  1. Navigate to SalesQuotations
  2. Click New Quotation
  3. Select or create customer
  4. Add products/services
  5. Review and send

Detailed Steps

1. Header Information

  • Customer: Select existing or create new
  • Quotation Date: Defaults to today
  • Valid Until: Expiry date (default: 30 days)
  • Reference: Customer PO or RFQ number
  • Salesperson: Assigned sales representative

2. Adding Line Items

Product Lines

1. Click "Add Product"
2. Search and select product
3. System auto-fills:
   - Description
   - Unit price
   - Tax rate
   - Available stock
4. Enter quantity
5. Apply discounts if needed

Service Lines

1. Click "Add Service"
2. Select or describe service
3. Enter quantity/hours
4. Set rate
5. Add any special terms

Smart Product Search

Type product code, name, or barcode. The search shows stock availability and suggests alternatives for out-of-stock items.

Line-Level Discounts

  • Percentage: Apply % discount
  • Fixed Amount: Deduct specific amount
  • Tiered: Volume-based pricing

Document-Level Discounts

  • Early Payment: 2/10 Net 30
  • Volume Discount: On total amount
  • Promotional: Campaign-based
